What are the benefits to joining eDeposit Ireland?

How do I join?

Please read Register to Deposit, and contact the Legal Deposit Librarian, Chlora Hall. She will discuss the set-up of your collection, and any other queries you might have about eDeposit Ireland. Once we have completed the set-up of your collection, we will contact you with login details.

Can there be multiple submitters from one organisation?

Yes, we can associate multiple persons with a collection so you can work collaboratively. It is no trouble to add or remove submitters if your personnel change. It may suit to use a shared work email if you have one, e.g. info@companyname.com.

What is involved in edeposit?

Read Register to Deposit and contact Chlora Hall at irlegdep@tcd.ie to set up your collection. We will associate your email address with your collection, and you will set a password.  When you login the system will know automatically where to put your publications. You then fill in a form describing each publication, upload the file and agree to the licence. Once the submission process is completed you will receive a system generated e-mail to confirm the upload has been successful. One of our cataloguers will check your submission and approve and publish the deposit. A system generated e-mail containing the permanent uri/handle of your publication will then be sent to you.

How do I describe my publications?

Our deposit form has been designed to be as simple and intuitive as possible whilst still enabling our contributors to describe a wide range of publications. Fill in the relevant information and leave the rest blank. We have only three compulsory fields: title, publication year and document type (you choose one type from a dropdown list, e.g. report) The rest of the form can be filled in at your own discretion, but the more information the better for your readers. What is the deposit agreement?

For each item deposited you will be asked to agree to a deposit agreement.

What is the collection policy?

We are interested in collecting a broad variety of Irish born-digital publications, especially those not published in print. We have a particular focus on the output of Government Departments and Agencies, but welcome publications from other sources, e.g. history groups, charities, research bodies, unaffiliated researchers.

A publication can be open access (available to all online), or restricted by a date limited embargo, after which it will become open access. We aim to introduce a third option, restricting access to TCD logins later.

We accept works that have been created using generative AI (text/image generation), but this use must be acknowledged clearly in the description box during upload.

What is the take down policy?

We reserve the right to reject and remove any material, e.g. with legal and ethical concerns, defamatory or libellous content

Which file formats are accepted?

The system accepts a wide range of file formats, including pdf, xml, txt, doc, ppt, xls, and image, sound, video and multimedia formats.

What should I do if I've lost my password?

Go to the eDeposit Ireland homepage and click 'log in'.  Click on the prompt 'Have you forgotten your password?' and fill in your email address.  A password reset email will be sent to you.

Can I submit bulk uploads?

Yes, we can accept bulk uploads of files and data. Contact the system administrator to discuss how to prepare your data for upload. You will be submitting an Excel spreadsheet containing the data which includes a column for the exact filenames of the documents to be uploaded. This will be in a zip folder with the files. During the bulk upload each line of the spreadsheet will generate a new record, and the named file will attach to the record.

Will my submission satisfy my Legal Deposit obligation?

The Irish Copyright Legislation was amended in 2019 and now enables Irish Legal Deposit Libraries to select to claim publications in either or both print and electronic formats.  We will continue to prioritise the claiming of publications in print.  However, if you would prefer to submit digitally, then please discuss this preference with Legal Deposit Librarian Chlora Hall.

The above-mentioned legislation also enables Irish Legal Deposit Libraries to claim born-digital publications (which have no print version). Their upload to eDeposit Ireland, whether claimed, self-deposited, or harvested will satisfy the publisher's legal deposit obligation to the Library of Trinity College Dublin.
